Export your transactions to Xero, QuickBooks, CSV, Excel, and more
Export your transactions to your accounting software or download them in various formats for reporting and record-keeping.
Export Formats
BasedInbox supports multiple export destinations:

Exporting Transactions
Quick Export
- Go to Transactions
- Select the transactions to export (or select all)
- Click Export
- Choose your format
- Click Download or Sync
Filtered Export
Export specific transactions:
- Go to Transactions
- Apply filters:
- Date range
- Account type (personal/business)
- Categories
- Status
- Click Export Filtered
- Choose your format
Direct Integration Exports
Export to Xero
With Xero connected:
- Go to Accounting → Export
- Select Xero
- Choose transactions to export
- Map any unmapped categories
- Click Export to Xero
Transactions appear as bank transactions in Xero, ready for reconciliation.
Export to QuickBooks
With QuickBooks connected:
- Go to Accounting → Export
- Select QuickBooks
- Choose transactions to export
- Review account mappings
- Click Export to QuickBooks

CSV Export
Standard CSV format compatible with most software:

- Account numbers
- Tax codes
- Job codes (if applicable)
Category Mapping
Before exporting, ensure categories are mapped to account codes:
- Go to Accounting → Chart of Accounts
- Click Category Mappings
- Map each category to an account code
- Save your mappings

Export Settings
Date Format
Choose your preferred date format:
- DD/MM/YYYY (default)
- MM/DD/YYYY
- YYYY-MM-DD
Currency
- Export in original currency
- Convert to base currency
Include Attachments
- Include receipt images (where available)
- Export as ZIP with attachments
Export History
Track your exports in Accounting → Export History:
- Export date and time
- Format used
- Transaction count
- Status (success/failed)
- Download link (7-day retention)
Failed Exports
If an export fails, you'll see:
- Error details
- Which transactions failed
- Suggested fixes
Common issues:
- Unmapped categories
- Invalid account codes
- Connection expired
Scheduled Exports
Set up automatic exports:
- Go to Settings → Exports
- Click Add Schedule
- Configure:
- Frequency (daily/weekly/monthly)
- Format
- Filters
- Email notification
- Save the schedule
Best Practices
Export Regularly
Export at least monthly to keep your accounting software in sync.
Reconcile After Export
After exporting to Xero or QuickBooks:
- Go to your accounting software
- Reconcile the imported transactions
- Verify totals match
Keep Backups
Download periodic CSV/Excel exports as backups, even if using direct integration.
Review Before Exporting
- Check for uncategorized transactions
- Verify amounts are correct
- Ensure dates are accurate
Troubleshooting
"Category not mapped" Error
Some transactions don't have account codes assigned:
- Go to Category Mappings
- Map the missing category
- Retry the export
"Connection expired" Error
Your accounting software connection needs refresh:
- Go to Integrations
- Reconnect your accounting software
- Retry the export
Duplicate Transactions
If transactions appear twice:
- Check export history for previous exports
- Use date filters to avoid overlap
- Delete duplicates in your accounting software
